Train, Apply, Approve
Complete your training, submit your application, receive your approval
Anyone operating a motor vehicle on behalf of the University must be authorized before any driving occurs. This includes faculty, staff, students, spouses and guests of the University operating Baylor-rented/leased or Baylor-owned vehicles.
- Applicants will begin the process by visiting the UE training platform https://DriveforBaylor and completing the two pre-requisite trainings: Driver Safety Fundamentals and Defensive Driving Strategies. The UE training platform will not allow you to access additional driver training modules until you have completed the two pre-requisite driving modules.
- After you complete the two pre-requisite driving trainings, you may choose to add additional training modules: Passenger Van Safety and/or Golf Cart Safety. (There is no longer a standalone ATV/UTV training module or trailer training.)
- Once you have completed your UE training, download or open the application in Adobe by clicking on Driving Application to the left of these instructions. Complete, sign and upload your application pages by clicking the Upload Completed Driving Application link. Do not submit your application until all desired training is completed.
- Do not upload a copy of your driver’s license or copies of your training certificates.
- After your application has been submitted, a member of Risk Management will verify that you have completed the training indicated on your application, review your driving history and complete the application process. Notifications will be sent to you and your listed supervisor.
- Driver authorization must be renewed every 3 years. The driver and their supervisor are ultimately responsible for maintaining their approval status. A list of approved drivers is accessible by last name and by department to the left of these instructions. These lists are not downloadable or manipulatable.

- Do not upload a copy of your driver’s license or copies of your training certificates.
- After your application has been submitted, a member of Risk Management will verify that you have completed the training indicated on your application, review your driving history and complete the renewal process. Notifications will be sent to you and your listed supervisor.
- DO NOT hit the "RENEW" button on the UE site as this will clear all of your completion history.

- Drivers who are graduate students or not employed by Baylor (and do not have a Baylor email address) are considered external learners. External Learners will log in via https://learn.ue.org/learn/register and be asked to enter Branch Code: 927-90665 to register/enroll in courses.

- We accept electronic signatures on applications except where prohibited by seven (7) state/district regulations: AR, DC, NE, NV, NY, NC, and SC. Applicants with a driver’s license from those states/districts must sign the application with ink then upload both pages of the application.
- Applicants from Washington State must sign and submit the additional Driving Release of Interest document. The link to this form can be found on the Driving Application. Submit the signed form by clicking the Upload Additional Driver Documents link.
- Applicants may not list another student as their supervisor on their application. They must list a staff or faculty member as their supervisor. In cases such as student organizations or intramural teams, their faculty advisor must be listed. Applications listing another student as a supervisor will be rejected and need to be re-accomplished prior to approval.
- Drivers must have a 3-year driving history unless this is the first time you have had a license issued (i.e. you are 18). Be sure to provide past license numbers and state if your current license is less than 3 years old. If you do not have this information handy, you can obtain it from your insurance agent.
- Boat training will require additional steps. Once drivers have completed their pre-requisite trainings (Driver Safety Fundamentals and Defensive Driving Strategies) and uploaded their applications, Risk will reach out to the driver with guidance.
- You are not allowed to rent/lease/borrow/operate a 15-passenger van as part of your travels. Twelve passenger vans shall be loaded with no more than nine travelers (including the Approved Driver) and equipment.
- When your license expires, please email your new expiration date to Risk@Baylor.edu
Basic driving approval covers anyone operating a Baylor-owned, rented or leased vehicle. A driver is not authorized to operate a 12-passenger van or golf cart until those modules are completed and their record is updated to reflect the additional approval(s).
Before asking someone to drive on behalf on the University, please ensure they are authorized to drive by checking the Approved Driver List.
Applicants must complete all of the steps in the approval process prior to operating vehicles on behalf of Baylor. All desired training modules must be completed, signed application must be submitted, and the applicant must receive their approval email to be considered a current approved driver.

Essential Forms for Vehicles
Keep a copy of the Automobile Accident Reporting Guide and a copy of the University's auto insurance identification card in your vehicle (rental vehicles, dealer loaner vehicles, and Baylor-owned vehicles) at all times.

- If you choose to drive your personal vehicle for Baylor business, your personal insurance will be primary coverage and you will be responsible for paying your deductible.
